For Indian applicants, every German national visa category, including the student visa, must be booked through VFS Global's appointment portal, and the category you pick determines both the centre you attend and the documents you carry. Getting this step wrong costs weeks, not minutes.
A German national visa application, the category that covers stays over 90 days for study, cannot be lodged without a pre-booked appointment. There is no walk-in option and no way to submit documents by post or courier. VFS Global operates the visa application centres on behalf of the German missions in India, and for most student applicants the appointment is either at a VFS centre or, in some jurisdictions, directly at the Consulate, depending on the category selected during booking.
The distinction that trips up first-time applicants is that a Schengen short-stay visa can be booked at almost any VFS centre nationwide, since Germany centralised Schengen processing. A student national visa follows different rules: your appointment must be booked in the city and category tied to the consular district where you legally reside, not wherever a slot happens to be open.

Booking the wrong sub-category does not just risk rejection at the counter, some missions warn that an incorrect category or a mismatched passport number can invalidate the appointment slot entirely.
Germany maintains several consular districts across India, each covering a defined set of states, and each with its own VFS centre and, in some cases, direct Consulate appointments for specific categories. A student national visa appointment must be booked within the district where you legally reside, not the city that happens to show the most open slots.
Schengen flexibility does not carry over to national visas. Booking a student visa appointment in a city outside your consular district is not a shortcut, it is a category error the system may not even let you complete, and if it does, it can complicate your submission at the counter. Confirm your district on your mission's official page before you create the booking.
When every appointment in your category is booked out, VFS offers a waitlist registration instead of an empty calendar. Applicants on the waitlist receive an e-mail to their registered address once new slots release, typically from cancellations or added capacity. Register for the waitlist the same day you find no availability rather than checking back manually, and keep the registered e-mail address monitored daily during high season.
Arrive with your appointment confirmation and a government-issued photo ID; both are checked at the entrance before you are allowed inside. Bring your documents in the exact order and format your mission specifies, generally A4 sized, with certified copies and translations where required. At the counter you submit your application, provide biometric data, and in most jurisdictions pay the visa fee on the spot. The counter interaction itself typically runs 15 to 20 minutes; the queue and security checks around it can add considerably more, so plan the visit as a half-day commitment rather than a quick errand.
