How to apply for APS: the step-by-step procedure, and where the clock really starts
The steps are public and the form is short. What decides your timeline is the order you do them in, the one moment the clock actually starts, and two steps that are not fully in your hands.
Before you start: confirm you actually need it
For Indian nationals, APS is mandatory before a German student visa and before most university applications; if the term itself is still fuzzy, what Akademische Prüfstelle actually checks sets out its scope in one page. The procedure, step by step
The process in 2026 is hybrid: you register and pay online, then send physical copies by courier. The diagram below shows the full path and, just as important, who acts at each step.
Prepare: your four moves
- Register online. Create your account on the APS India portal and enter your personal and academic details exactly. A mistyped email address here can derail the entire process, since the certificate is delivered to it.
- Complete and sign the form. Fill every field, then print and sign it by hand and attach a passport photo no older than six months. Incomplete or incorrect forms are invalidated.
- Pay the ₹18,000 fee. CCAvenue online (cards, UPI, net banking) is verified automatically and starts the queue faster. An NEFT bank transfer works but is checked manually and is noticeably slower. The fee is non-refundable, and APS begins processing only after it clears.
- Assemble the package. A4 colour photocopies of both sides of every document, never originals, plus the signed form and the payment receipt. The full set is in the APS documents checklist, including the pairing rule that trips most applicants.
Submit
- Alert your institution. Tell your university or college registrar that APS may write to them, from an official institutional address (.edu.in or .ac.in), to verify your records. APS will not accept a Gmail or Yahoo reply. This is the most overlooked step and a leading cause of delay.
- Courier to New Delhi. Send the package by a tracked courier to the APS India office. In-person drop-off is no longer accepted. Save the tracking number and confirm delivery before you assume the application is moving.
Wait, then receive
Once your complete package arrives and the fee has cleared, APS verifies authenticity and may email your institution directly. Track status in your portal from around the three-week mark, and check your spam folder. Do not send repeated emails to APS, as the inbox can auto-block your address and cut off your only channel. On success, the certificate arrives as a digitally signed PDF. Do not rename, edit, or merge it, because that can break the signature when universities, uni-assist, or VFS verify it.
Where the timeline is won or lost
Two facts decide whether you wait three weeks or three months, and neither is the document list. First, the clock starts only after the fee clears and the package physically arrives, so an NEFT transfer or a slow courier silently delays day one. The realistic spread, and why fast cases on Reddit do not generalise, sits in the APS timeline reality. Second, the verification depends on your institution answering APS, which is the one step entirely outside your control, so the registrar alert is worth more than it looks.
Read the procedure as a clock, not a checklist. Most of the steps are yours and fast, but two are not: the moment the fee and package register on the APS side, and your institution's response to the verification email. Pay online, courier with tracking, and prime your registrar before you submit. Those three choices move your start date and your finish date more than anything on the document list.
